1. Who is responsible for data processing
The processing of personal data in the operation of the online store AZIMKA.shop under this Policy is the responsibility of SUMOTORI Japan株式会社 (SUMOTORI Japan Co., Ltd.), Japan, hereinafter referred to as the “Company”.
Corporate number (法人番号): 8010001199872.
Address: 愛知県名古屋市西区児玉3丁目6番23号; Japan, Aichi, Nagoya, Nishi-ku, Kodama 3-6-23.
Email for personal data inquiries: info@azimka.ru.
Phone: +81 52-934-7070.
Website: https://azimka.shop/.
This Policy describes the processing of data of visitors, customers, recipients of orders, and individuals contacting support. The Company complies with applicable requirements of Japanese legislation on the protection of personal information (APPI), as well as the legislation of other countries where applicable to the relevant processing. The language of the Site does not itself determine the applicable legislation.
2. What data we process
Depending on the functions used and the nature of the request, the following data may be processed:
- first name, last name, contact phone number, email address;
- country, postal code, and delivery address, recipient information;
- account information and necessary authentication data;
- composition, cost, and status of orders, information about delivery, returns, and inquiries;
- payment information received from PayPal: transaction ID, amount, currency, status, and necessary information about the payer;
- content of correspondence and materials you send for consideration of the inquiry, such as photographs of damaged goods;
- technical information about working with the Site: IP address, browser and device information, time of access, event logs, and cookie identifiers — to the extent corresponding to the functions used and consent settings.
If you specify another recipient of the order, please inform them about the transfer of data for delivery and familiarize them with this Policy.
Payments are made through PayPal. Do not send us your PayPal passwords, full card details, or security codes. The payment service processes data according to its own rules; its policy is available at the link: https://www.paypal.com/jp/legalhub/paypal/privacy-full.
Passport data is not required for regular order processing on the Site. If documents are necessary for customs procedures, provide them to the relevant authorized body or postal operator upon request. Please do not send copies of passports and other excessive documents to customer support unnecessarily.
3. What the data is used for
We use the data for:
- Registration and maintenance of the personal account.
- Agreement, processing, payment, and fulfillment of the order, delivery, cancellation, and return.
- Communication regarding orders, processing inquiries and complaints.
- Accounting for operations and fulfilling legal obligations.
- Protecting the Site and users, identifying technical errors, and preventing abuse.
- Analytics of Site usage — when there is a necessary basis and, when required, consent.
- Sending advertising messages — when there is a necessary basis, including separate consent when required.
For processing subject to GDPR, the bases are determined by purpose: performance of the contract and actions at your request prior to its conclusion — for orders and related inquiries; fulfillment of applicable legal obligations — for mandatory accounting; legitimate interest in security and protection of claims — after assessing proportionality and user rights; consent — for optional analytics and advertising when required. Japanese requirements for purposes of use, notification, and consent are observed separately: these bases do not replace APPI.
Fields necessary for the order are marked in the form. Without the corresponding data, processing, delivery, or consideration of the request may be impossible. Refusal of advertising does not prevent purchase.
Familiarization with the Policy, visiting the Site, or accepting the offer does not imply consent to any types of processing.
4. Who may receive the data
For relevant purposes, data is provided to the necessary extent:
- PayPal — for payments, refunds, and resolution of payment disputes;
- Japan Post and participating postal operators — for delivery and tracking of shipments;
- customs and other authorized bodies — when there is an applicable legal basis;
- hosting, email, technical maintenance, and other service providers — to the extent necessary for their tasks, in compliance with applicable requirements for engaging such persons;
- professional consultants and dispute resolution bodies — when necessary and lawful for accounting, fulfilling obligations, or protecting claims.
PayPal, postal operators, and other recipients may independently determine specific purposes of processing within their legal obligations. This Policy does not replace their own notifications.
5. Processing in other countries
The Company is located in Japan. The fulfillment of international orders involves the processing of data in Japan and the destination country. Depending on technical and payment services, processing may also occur in other countries.
International transfers are carried out with the necessary bases and guarantees provided by applicable legislation. When separate consent and information about the country, recipient, or protective measures are required, they are provided prior to the relevant transfer. Acceptance of the offer does not constitute universal consent for transfer to any foreign recipients.
6. Cookies, analytics, and embedded elements
Cookies and similar technologies may be used for the operation of the cart, authorization, saving settings, and protecting the Site, as well as for analytics and advertising in compliance with applicable requirements.
Cookies, IP addresses, and device identifiers are not considered automatically anonymous data. The ability to save cookies in the browser does not itself replace the necessary consent.
If the law requires consent for optional technologies, such technologies should only be included after the appropriate user selection. Refusal should not block access to purchase, except for functions for which the specific technology is objectively necessary.
External widgets, embedded content, and links may lead to data processing by their providers. Information about active elements is included in the list of services used.
7. Storage periods
Data is not stored indefinitely solely based on the fact of registration or visiting the Site. The period is determined by the purpose of processing, legal obligations, and the necessity of resolving disputes.
| Data | Storage Period |
|---|---|
| Personal account | Until account deletion or 3 years of inactivity |
| Orders, payments, correspondence regarding the order | 7 years (requirements of accounting and tax legislation of Japan) |
| Support inquiries, complaints | 3 years after the inquiry is closed |
| Technical logs and logs | Up to 12 months |
| Advertising subscription | Until consent is withdrawn or the relevant purpose ceases. Minimum information about refusal may be retained to prevent repeated mailing. |
Upon expiration of the applicable period, data is deleted or anonymized if there is no other legal basis for storage. When restoring a backup, previously fulfilled deletion requests are considered again.
8. Mailings and communication
Messages about confirmation, payment, delivery, and consideration of inquiries are related to order fulfillment and differ from advertising mailings.
Advertising messages are sent when there is a necessary legal basis. You can unsubscribe from them in the manner provided in the message or by writing to info@azimka.ru. Refusal of advertising does not terminate necessary communication regarding the active order.
9. Data protection
The Company is obliged to apply appropriate organizational and technical measures according to the risks: limit access to necessary tasks, control access of employees and contractors, and protect data from unauthorized access, loss, or alteration. The scope of measures is determined by the nature of the data and the systems used.
In the event of an incident, the Company takes measures to eliminate it and sends notifications to users and competent authorities in cases and within the timeframes provided by applicable legislation.
Please keep your personal account password confidential and report any suspicious activity to info@azimka.ru.
10. Your rights and inquiries
Depending on applicable legislation, you may request information about processing and access to your data, their correction, deletion, restriction, or cessation of processing, as well as object to certain types of processing. If GDPR applies, you may also have the right to data portability. If processing is based on consent, it can be withdrawn; withdrawal does not affect the lawfulness of processing prior to its receipt.
To make an inquiry, write to info@azimka.ru. Specify the essence of the request and information that allows us to find your account or order. To protect data, we may request proportionate identity verification without requiring excessive documents.
A response will be provided within the timeframe specified by applicable legislation. If GDPR rules apply, the general response period is one month; permissible extensions are accompanied by a notification explaining the reasons.
Deleting an account does not automatically delete documents that must be retained by law. If a request cannot be fully satisfied, we will explain the grounds in the manner provided by law.
You have the right to contact the competent supervisory authority, including the Personal Information Protection Commission of Japan (PPC): https://www.ppc.go.jp/en/. If the legislation of another country applies, the right to contact the relevant authority of that country is preserved.
11. Changes to the Policy
The current version is posted at https://azimka.shop/privacy-policy/ with the effective date. Significant changes are communicated in a manner that complies with applicable requirements. If a change requires new consent, it is requested separately.
The publication of a new edition does not itself permit the use of previously collected data for incompatible purposes or their transfer without a necessary basis.
